What is a Smart Template™?
A Smart Template™ is our simple, yet sophisticated system of placing your material online so your users can customize it through automation pulling from either their profile, or their data file. It’s a template that is pre-styled with font descriptions and styles that work for that particular template. A user can change it without having to worry about what font style to use. A user can exchange photos or text. Each Smart Template™ can be modified an infinite amount of times. Each Smart Template™ is built with Variable Data.
Variable-data printing (VDP) is a form of digital printing, including on-demand printing, in which elements such as text, graphics and images may be changed from one printed piece to the next, without stopping or slowing down the printing process and using information from a database or external file. For example, a set of personalized letters, each with the same basic layout, can be printed with a different name and address on each letter. Furthermore, multiple addresses in a single data file can be used so that the data printed on the envelope is different then what is referenced on the letter inside!

DIRECT MAIL BASICS
One of the biggest mistakes that we see people make regarding Direct mail marketing is to send out just a few mailings and then quit. It’s much more then Direct Mail. It’s Direct Mail Marketing. The Direct mail we send are called “campaigns.” It’s called a Campaign for a reason. It is very important to understand that your response rates will go up with subsequent and consistent mailings. (As well as valuable, relative and pertinent content) Some people will look at your mail piece for several months or a year before they call you. You want to be the one that is still mailing to these people when they finally become motivated. You want to be “Top of Mind.” Remember that time and circumstances change all things. This is especially true for absentee owners for Real Estate Investors.
A study done several years ago gives you a better expectation regarding your Direct mail campaign results…

CASS Certification: (Data Cleansing)
1. Names that do not meet the postal requirements listed below will not be mailed.
2. You will not receive the “non-deliverable” names back for your records
3. “Or Current Resident” Will BE be added to your mail piece below the recipients address.
4. You will not be credited back for the “non-deliverables.”
(Statistically, we see that the volume not making it through CASS certification is a small number)
What is “CASS” (More info)
It is a United States Postal Service (USPS) acronym that stands for Coding Accuracy Support System. The term CASS is widely used by the USPS when they refer to the verification status of an address list. In order for an address list to receive CASS certification, the list must be checked against the USPS Address Matching System (AMS) CD-ROM, a match must be found for each address and the correct 11-digit Delivery Point ZIP code and corresponding barcode must be added. Only addresses with the Delivery Point ZIP code and barcode are eligible for automation bulk mailing rates.
NCOA (Data Cleansing)
What is it? (National Change of Address):
If you choose this option the following will happen:
1. “Dedup” (We will remove duplicates)
2. “Proper Case” (We will change the first letter of each word in the string to be capitalized and the other characters to be lowercase)
3. Your data list will be run through NCOA. (National Change of Address)
4. You will receive the “Bad” data list via eMail for your own record.
5. “Or Current Resident” Will NOT be added to your mail piece below the recipients address
6. You will not be credited back for the “non-deliverables.” (This includes printing and postage)
(Compare to sending at First Class at $.44 each to find out it is only going to get returned anyways)

We accept your database files. We prefer any CSV (comma separated value) files or Microsoft Excel.

TURN AROUND TIME
We produce your Direct Mail piece in about two days. You can count on it being in the mail stream on about the 3rd day after your order.
EXPECTED DELIVERY TIMES:
We’ll print and process your marketing piece within 1-3 business days.
After that, it is in the hands of the USPS.
First-Class mail postage rates are the same regardless of how far the mail travels. That’s a great deal! First-Class Mail postage includes forwarding and return services and it is generally delivered in 3-5 days nationally.
Standard mail (or Bulk Mail) is a great alternative if you are mailing 100 or more postcards. It offers lower postage rates however delivery times can be as much as 10-14 days. Standard Mail postage does not include forwarding and return services.
East Coast: 10-14 days | Central: 7-10 days | West Coast: 3-8 days.

Variable-data printing (VDP) (also known as variable-information printing (VIP) or VI) is a form of digital printing, including on-demand printing, in which elements such as text, graphics and images may be changed from one printed piece to the next, without stopping or slowing down the printing process and using information from a database or external file. For example, a set of personalized letters, each with the same basic layout, can be printed with a different name and address on each letter. Variable data printing is mainly used for direct marketing, customer relationship management, advertising, invoicing and applying addressing on selfmailers, brochures or postcard campaigns. There is no limit to the number of Variable Data elements that can be assigned to any direct mail piece.
• FOR EXAMPLE. A Real Estate Investor may want to do a direct mail campaign to an Absentee Owner. His list is comprised of many different fields such as “Owners” information including names & address AND the address of the “Site Property” & “Days behind in Mortgage.” We can insert all of these variables into the document, whether it’s a hand-written Yellow Letter, Postcard, or newsletter.
• Authenticity. Often times we’ll use a “Hand Written” font so that the mail piece looks like you actually wrote it. This level of personalization makes the Direct Mail campaign have optimum authenticity, therefore greatest success in ROI or “open rate.”
There is no limit to the number of variables. This can include photos and text. It can be background color choices, paper color & more. Newsletters are a prime example as to the complexity of using variable data to completely personalize a direct mail piece. The recipients name can be placed all over the newsletter such as “Dear Mark” or “Hello Mary.”

Postcards are an easy to understand sample as to the power of variable data. Imagine you a data file filled with personal information on customer. It could be the last time they purchased a “weight loss” product, or information on their current mortgage situation. This relevant information can be automatically inserted throughout the direct mail piece. There is no limit to the number of variables so each person receives a very specific and personalized direct mail piece.

Authenticity is paramount in the success of a direct mail campaign. There are many elements associated with the success of a direct mail campaign. One such element is using a hand-writing font. This alone will cause the recipient to look twice at their mail as it looks like it was mailed to them by a friend,not a solicitor or spam. The other element of success is the data you place on a direct mail campaign. If you are not sending relevant information to the recipient, then it’s likely you won’t have the same response rate. Yellow letters are a prime example as to what you can do with variable data on a very authentic direct mail campaign.
